Position Overview:
We are looking for a reliable and professional On-Call Front Desk Secretary to join our team. This role requires someone who is available to work on an as-needed basis in our co-working spaces located in Leesburg, VA, providing essential administrative support during peak times, staff absences, or special events. The On-Call Front Desk Secretary will be the first point of contact for visitors and callers, ensuring a welcoming and efficient front desk experience.
Key Responsibilities:
- Greeting Visitors: Warmly welcome visitors, clients, and staff, providing them with necessary information and directing them to the appropriate person or department.
- Answering Phones: Manage incoming calls, route them to the correct person or department, and handle general inquiries in a professional manner.
- Managing Appointments: Schedule and manage appointments, meetings, and conference room bookings as needed.
- Handling Mail and Deliveries: Receive, sort, and distribute mail and packages; manage outgoing mail and courier services.
- Maintaining Reception Area: Ensure the reception area is tidy, organized, and stocked with necessary supplies, such as brochures or forms.
- Administrative Support: Provide general administrative support, including filing, data entry, and handling correspondence.
- Assisting with Special Projects: Support various departments with special projects, events, or additional tasks as required.
- Managing Office Supplies: Monitor and restock office supplies, placing orders when necessary to ensure the front desk is fully equipped.
- Handling Security Protocols: Ensure all visitors sign in and out, and manage visitor badges or access as required.
- Responding to Emergencies: Assist in managing any front desk emergencies, following company protocols to ensure safety and security.
Qualifications:
- High school diploma or equivalent required; additional qualifications in office administration are a plus.
- Previous experience as a receptionist, secretary, or in a similar role preferred.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Professional appearance and demeanor.
- Ability to work flexible hours on short notice.
